Naftagaz: intranet concept development

Task

To analyze internal communication channels, identify key target audiences, and do deep research of drilling rig workers every day routine. To collect requirements from business stakeholders and develop the intranet concept and its design. To write business requirements and take part in IT provider choosing process for future development and implementation, as well as provide recommendations on launching the intranet and users engagement.

Analysis and gathering requirements

We analyzed HR data and samples of working documents, internal communication tools. Conducted interviews with business stakeholders — corporate communications, procurement, HR, IT, production safety department, compliance, as well as Information Security

Target audience research by the person method

We conducted 30 deep interviews with employees. Special attention was paid to employees who work on drilling rigs and are outside the information space of the company. Various hypotheses have been worked out, for example, about the unavailability of mobile communications on drilling rigs, about outdated employees mobile phones or low computer literacy. As a result, we identified 4 key intranet personas, pain points of employees and possible tools for solving them on the intranet. The hypotheses and the results of deep interviews were confirmed by a quantitative survey involving 270 office employees and drilling workers.

SWOT-analysis

We did a SWOT analysis: identified the current advantages, risks, limitations and points of development of the intranet

Development of the intranet creation concept

— defined the purpose, principles of creation, the structure of the main page and the personal space of the employee
— developed the concept of intranet navigation
— create a roadmap for the project
— identified priorities and stages of implementation of the functionality
— developed a concept for employees engagement on the intranet

Design

We developed the design of the intranet key sections for desktop and mobile versions, as well as the UI-kit:
— Home page
— Employee’s personal space and profile
— Project management support tools
— Production risks submitting and confirmation
— Directory book

Development of business requirements

Developed business requirements for 15 key intranet modules, including a general approach to implementation, interface, personalization criteria, description of the functionality of the main page

Recommendations

Provided recommendations on the choice of an IT platform for the implementation of the concept. Took part in meetings with IT integrators to select a contractor for the development and implementation of the intranet. Made a comparative analysis of the commercial offers of IT integrators. We prepared recommendations for engaging employees in the intranet, taking into account the specifics of the audiences and possible risks of the project.
